CIG Travel – Terms & Conditions
By engaging CIG Travel for travel planning services, paying an Agency Design Fee, placing a deposit, or booking travel through CIG Travel, you acknowledge that you have read, understood, and agree to the following Terms & Conditions on behalf of yourself and all travelers included in your reservation.
1. Scope of Agency
CIG Travel offers retail travel advisory and booking services to Travelers. Travel services arranged through CIG Travel are provided by separate and independent third-party vendors (“Suppliers”).
CIG Travel does not own, control, operate, or otherwise provide the travel services and products included in your itinerary, including but not limited to flights, accommodations, vacation packages, travel insurance, tours, excursions, cruises, transfers, rental cars, or any other transportation or travel-related services (“Travel Products/Services”).
All Travel Products/Services are owned, operated, controlled, or otherwise made available by third-party Suppliers, including but not limited to airlines, hotels, cruise lines, tour operators, transportation companies, and local providers. Their use is subject to each Supplier’s terms and conditions, as well as applicable local, national, and international laws.
Each booking constitutes a separate contract solely between the Traveler(s) and the applicable Supplier(s). CIG Travel acts solely as an intermediary in arranging travel services.
2. Supplier Terms
Traveler(s) agree to be bound by all Supplier terms, conditions, cancellation policies, payment terms, and refund policies, whether or not such terms are separately provided to Traveler(s).
Supplier policies vary and may change without notice.
CIG Travel is not responsible for any act, omission, error, delay, cancellation, injury, damage, loss, or expense caused by any Supplier.
3. Airfare
Airline tickets are governed exclusively by the terms and conditions of the applicable airline.
The conditions contained on the Traveler’s airline ticket shall constitute the sole agreement between the airline and the Traveler(s).
CIG Travel is not responsible for:
- airfare change fees
- airfare cancellation fees
- baggage fees
- seat assignment fees
- schedule changes
- flight delays
- missed connections
- denied boarding
- airline cancellations
- additional airline-imposed charges
Airline baggage policies are subject to change at any time. Traveler(s) are responsible for verifying baggage allowances, restrictions, and fees directly with the airline prior to travel.
4. Hotels, Accommodations, Cruises, Tours, Excursions & Vacation Packages
Hotels, villas, resorts, lodges, vacation rentals, cruises, tours, excursions, transportation services, and vacation packages are subject to the terms and conditions of the applicable Supplier(s).
Supplier-issued confirmations, vouchers, hotel policies, cruise contracts, rental agreements, and travel documents constitute the governing agreement between the Traveler(s) and the applicable Supplier(s).
CIG Travel is not responsible for Supplier changes to accommodations or services, including but not limited to:
- changes in room category or bedding configuration
- room location or views
- hotel amenities or services
- renovations or maintenance work
- pool, spa, beach, restaurant, or facility closures
- overbookings
- substitutions of comparable accommodations
- changes in operating hours
- service limitations
- itinerary modifications
- transportation changes
- schedule changes or cancellations
Amenities advertised by Suppliers are subject to availability and may be modified, suspended, or discontinued without notice.
Supplier(s) reserve the right to alter itineraries, accommodations, routes, schedules, ports, transportation, activities, or services at any time and without prior notice.
Any compensation, refund, credit, or remedy related to such changes shall be subject solely to the policies of the applicable Supplier(s).
5. Release of Liability
CIG Travel assumes no responsibility for and shall not be liable for any refund, injury, illness, death, property damage, inconvenience, loss, delay, expense, or irregularity arising from or related to:
- acts, defaults, negligence, or omissions of any Supplier
- transportation delays or cancellations
- schedule or itinerary changes
- equipment or vehicle failure
- mechanical breakdown
- strikes
- missed connections
- mandated overnight stays
- acts or omissions of third parties outside of CIG Travel’s control
Traveler(s) acknowledge that travel may involve unforeseen changes, delays, interruptions, or cancellations and agree that CIG Travel shall not be liable for any resulting costs or damages.
6. Force Majeure
CIG Travel shall not be liable for any loss, damage, delay, interruption, or cancellation resulting in whole or in part from events beyond its control, including but not limited to:
- acts of God
- flood
- fire
- earthquake
- volcanic activity
- severe weather
- war or threat of war
- terrorism
- civil unrest
- riots
- strikes
- labor disputes
- epidemics
- pandemics
- quarantine
- illness outbreaks
- government restrictions or intervention
- border closures
- supplier insolvency
- transportation disruption
- wildlife incidents
- or any other unforeseen circumstance
If affected by a force majeure event, Suppliers may cancel, alter, delay, or modify travel services without notice and in their sole discretion. Refunds, credits, or rebooking options are subject solely to Supplier policies.
7. COVID-19 & Health Advisory
Traveler(s) acknowledge that travel may be impacted by COVID-19 or other public health events, outbreaks, epidemics, pandemics, government advisories, entry restrictions, testing requirements, or quarantine requirements.
Travel services may be interrupted, modified, delayed, or canceled by Suppliers, governments, or third parties outside of CIG Travel’s control.
Traveler(s) understand that Supplier cancellation, refund, rebooking, and credit policies will govern all rights and remedies in the event of travel interruption, cancellation, or modification related to COVID-19 or other public health circumstances.
Traveler(s) are solely responsible for reviewing and complying with all current:
- destination entry requirements
- testing requirements
- vaccination requirements
- health declarations
- quarantine rules
- airline health protocols
- government travel advisories
prior to departure and throughout travel.
CIG Travel is not liable for denied boarding, denied entry, quarantine expenses, trip interruption, additional hotel stays, medical expenses, or any other costs or losses resulting from health-related travel restrictions or requirements.
Traveler(s) are strongly encouraged to purchase travel insurance that includes coverage for trip interruption, cancellation, medical expenses, and quarantine-related expenses when available.
8. Travel Insurance
Travel insurance is strongly recommended to protect your travel investment.
CIG Travel does not purchase insurance on behalf of Traveler(s).
Traveler(s) are solely responsible for:
- electing whether to purchase insurance
- selecting appropriate coverage
- understanding policy benefits and exclusions
- claim filing
- communication with the insurer
CIG Travel is not responsible for:
- policy terms
- coverage determinations
- claim processing
- claim delays
- claim denials
Traveler(s) are encouraged to review their policy carefully, including cancellation, interruption, medical, baggage, and emergency evacuation benefits.
9. Assumption of Risk / Hold Harmless
Traveler(s) acknowledge that travel involves inherent risks, including but not limited to illness, injury, accident, delay, loss of property, exposure to disease, criminal acts, terrorism, weather conditions, food- or water-related illness, transportation accidents, and death.
Traveler(s) voluntarily assume all risks associated with travel.
Traveler(s) agree to release, indemnify, defend, and hold harmless CIG Travel, its owners, employees, contractors, advisors, agents, successors, and assigns from any and all claims, damages, liabilities, losses, costs, or expenses arising out of or relating to travel booked through CIG Travel, including claims arising from third-party negligence.
This agreement shall be binding upon Traveler(s), heirs, legal representatives, successors, and assigns and shall survive cancellation or termination of travel arrangements.
10. Booking Accuracy / Legal Names
Traveler(s) are responsible for reviewing all booking confirmations immediately upon receipt.
Traveler(s) must verify, including but not limited to:
- full legal names
- date(s) of birth
- gender
- passport information
- travel dates
- pricing
- airports
- accommodations
- activities
- itinerary details
Names must exactly match government-issued identification and passports.
Failure to notify CIG Travel promptly of errors or omissions may result in penalties, denied boarding, denied entry, cancellation, or additional Supplier fees, which shall be the sole responsibility of Traveler(s).
11. Travel Documents / Entry Requirements
Traveler(s) are solely responsible for obtaining and carrying all required travel documentation, including but not limited to:
- passports
- visas
- vaccination records
- entry permits
- government-issued identification
- international driving permits
- any country-specific travel documentation
Traveler(s) are responsible for researching all passport validity requirements, visa regulations, transit requirements, immunization requirements, and re-entry requirements.
CIG Travel is not responsible for denied boarding, denied entry, denied re-entry, missed travel, delays, losses, or expenses arising from incomplete, invalid, expired, or missing travel documentation.
Refusal of entry into any country is not grounds for refund, cancellation, or chargeback.

12. Medical Conditions & Accessibility
Traveler(s) are responsible for advising CIG Travel prior to booking of any disability, mobility concern, medical condition, dietary restriction, or special accommodation request.
CIG Travel will communicate requests to Suppliers but cannot guarantee availability.
Accessibility standards outside the United States may differ from ADA requirements.
CIG Travel is not responsible if requested accommodations are unavailable or not honored by Suppliers.
Any additional costs related to special accommodations are the sole responsibility of Traveler(s).
13. Personal Information
Traveler(s) consent to CIG Travel collecting, using, and sharing personal information necessary to facilitate travel planning and bookings.
Personal information may include, but is not limited to:
- full legal names
- dates of birth
- passport details
- mailing addresses
- phone numbers
- email addresses
- travel dates
- loyalty program numbers
- emergency contact information
- payment and billing information
Traveler(s) understand that this information may be transmitted to third-party Suppliers as necessary to arrange and confirm travel services.
CIG Travel is not responsible for the privacy practices, storage, use, or protection of personal information by third-party Suppliers once such information has been transmitted for booking purposes.
Traveler(s) agree not to hold CIG Travel liable for any loss, misuse, breach, or unauthorized access of personal information caused by any third-party Supplier.
CIG Travel retains personal information only as necessary to provide travel services and for reasonable legal, accounting, or business recordkeeping purposes.
14. Pricing & Supplier Terms
All pricing and availability are subject to change until deposits are received and confirmed.
Quotes are based only on the inclusions specifically provided in writing.
Unless specifically listed as included, quoted pricing does not include:
- resort fees
- city or municipal taxes
- tourism taxes
- environmental fees
- sustainability fees
- visitor taxes
- hotel service charges
- baggage fees
- seat assignments
- visas
- passport fees
- airport taxes
- gratuities
- porterage
- meals not specified
- beverages unless specifically included
- minibar
- laundry
- parking
- valet
- optional excursions
- airport transfers unless noted
- travel insurance premiums
- or other incidental or personal expenses
Suppliers may impose additional mandatory fees at any time before or during travel.
These fees may be charged by hotels, airlines, cruise lines, accommodations, transportation providers, tour operators, or local governments.
Such charges may be payable directly at destination, at check-in/check-out, at airport, at port, or directly to the Supplier and may be collected in local currency.
These fees are outside of CIG Travel’s control and are the sole responsibility of the Traveler(s).
CIG Travel reserves the right to pass through any increase in taxes, fees, fuel surcharges, or government-imposed charges.
15. Payments & Deposits
CIG Travel accepts Visa, Mastercard, American Express, and Discover.
A 3.5% credit card transaction fee applies to any and all payments made by credit card, including but not limited to:
- Agency Design Fees
- deposits
- final payments
- service fees
- change fees
- supplier payments
- any other travel-related charges processed by CIG Travel
This fee is non-refundable.
Reservations are held only until the stated deposit due date.
Failure to remit payment by the due date may result in automatic cancellation and Supplier penalties.
Traveler(s) are solely responsible for penalties, fare increases, and fees resulting from late payment or declined payment methods.
16. Agency Design Fees
Agency Design Fees are required prior to quote preparation or itinerary planning unless otherwise agreed in writing.
All Agency Design Fees are non-refundable, regardless of whether travel is booked, canceled, postponed, or otherwise not completed.
17. Credit Card Authorization & Chargebacks
By providing payment information, Traveler(s) authorize CIG Travel to process charges for Agency Design Fees, deposits, final payments, fees, and other approved travel charges.
Before initiating any credit card dispute or chargeback, Traveler(s) agree to contact CIG Travel directly to attempt resolution.
Traveler(s) agree not to initiate chargebacks for valid Supplier penalties, cancellation fees, Agency Design Fees, or authorized travel charges.
Unauthorized chargebacks may result in collection of additional costs including administrative fees, merchant fees, collection fees, and attorneys’ fees.
18. Revisions, Changes & Cancellations
Any revisions, deviations, or modifications to confirmed reservations are subject to:
- a $350 per person per occurrence CIG Travel change fee
- plus any Supplier-imposed change fees, penalties, fare differences, or administrative fees
All cancellation requests must be submitted in writing to:

All cancellations will incur a minimum $500 per person cancellation fee, in addition to any Supplier penalties.
No refunds will be issued once a deposit has been received by CIG Travel or paid to any Supplier, unless otherwise expressly stated in writing. Any refunds, credits, or exceptions remain strictly subject to the applicable Supplier’s cancellation and refund policies.
No refunds will be issued for:
- post-departure cancellations
- unused services
- partially used services
- voluntary itinerary changes while traveling
Any changes made after departure are entirely at the Traveler’s expense.
19. Acceptance of Terms
By paying an Agency Design Fee, submitting payment, placing a deposit, signing an authorization form, or booking travel through CIG Travel, Traveler(s) acknowledge and agree that:
- they have read and understand these Terms & Conditions
- they accept these Terms & Conditions in full
- the lead traveler accepts these Terms on behalf of all travelers in the booking
- each traveler is responsible for reviewing these Terms & Conditions
- failure to read or understand these Terms does not waive or alter their enforceability
Receipt of payment and booking confirmation constitutes acceptance of these Terms & Conditions in full.
